The Clocki Guide

Everything you need to run attendance, leave, and reporting for your team.

Getting Started

Start by creating your company account from the sign-up page. You'll get a 14-day free trial with no card required. The person who signs up becomes the company administrator and can invite everyone else.

After your first login, head to Settings and set up the essentials. Choose your timezone, your office hours (start and end times), and your working days (say Mon to Fri, or any combination that fits your company). Then pick your leave policy: track leave in days or hours, and set the annual allowance. You can also upload your company logo, which replaces the Clocki branding in the app header for your whole team. These settings drive attendance badges, leave maths, and the calendar, so it's worth getting them right first.

Managing Your Team

Open the Employeestab to invite people by name and email. Each person receives an email invitation and sets their own password, so you never share passwords manually. There's no onboarding to worry about either. Their account arrives ready to use.

Departments

Create departments under the Departments tab to organise your team. Each department can have an optional colour and icon, which appear beside the department name across the app. Assign employees to a department when you add or edit them.

Managers & per-employee overrides

Set an employee's reporting manager when adding or editing them. Mark an employee as a manager to give them a Team view of their direct reports. On each employee's detail page you can set a custom leave allowance that overrides the company default. This comes in handy for mid-year joiners or bespoke contracts. Leave it empty to use the company-wide allowance.

Attendance Tracking

Employees clock in and out from their dashboard. While clocked in, a live timer shows elapsed time, and hours are calculated automatically once they clock out.

Status badges

Each clock-in is categorised against your office hours: On time (at or before office start), Late (after start but within hours), or After hours (after office end, which counts as extra work rather than lateness). Badges respect your company timezone.

Missed clock-outs & corrections

If someone forgets to clock out, Clocki auto-closes the session the next day using your office end time (or an 8-hour fallback) and flags it with a Missed clock-out badge. Admins can correct any clock-in or clock-out time inline on the Attendance page, and a manual correction clears the auto-closed flag. Attendance data is never hidden, so someone who worked a Saturday still appears in the records.

Leave Management

Employees request leave from their dashboard. Requests can be full-day (a date range) or partial-day (a single date with From/To time pickers). Partial-day times must fall within office hours, and leave is measured in your chosen unit of days or hours.

Types & approval

Leave types include Annual, Sick, Work from Home, and Unpaid. New requests start as pending, and a manager or admin approves or rejects them from the Leave Requests page or the Manager View. Admins can approve any request, including their own. Managers can approve only their direct reports' requests. Leave maths counts only your configured working days, so a Friday-to-Monday request at a Mon to Fri company counts as two days.

Overlap detection

Clocki blocks a new request that overlaps an existing pending or approved one for the same person. Full-day ranges are checked by date, and partial-day requests by time on the same date (so 9 to 12 and 2 to 4 on one day are both fine). Approving admins are warned if an approval would overlap another approved request.

Team Calendar

The Team Calendar shows who's off and when. Approved and pending leave appear as chips on each day, alongside two kinds of events: worldwide events (shared international dates) and your company's own office events (added in Settings, with optional time and location).

The calendar is working-day aware: non-working days are tinted, and leave chips are suppressed on non-working days so a spanning leave only shows on the days that actually count. Click any day for a detail popup listing that day's events and who's on leave.

AI Insights & Reports

Ask Clocki AI(on the admin overview) answers plain-English questions about your team. Try “Who has the most leave remaining?” or “Show attendance this month.” It reads your company's data and respects your leave unit, working week, and workday length when interpreting numbers.

Managers also get AI Insights in the Team view: automatic, plain-language observations about attendance patterns, capacity risks from overlapping leave, and stale approvals. That way you can act without digging through tables.

Company Settings

Settings is where admins manage everything company-wide:

Company profile: your company name and logo, which appear in the app header for your whole team (white-label). Office hours & working days: start/end times, timezone, and which days count as working days. Leave policy: days or hours, and the annual allowance. Office events: add company events with optional time and location that show on the calendar. Billing: view your plan and manage your subscription. Data export: download a full backup of your company data as a ZIP of CSV spreadsheets. Clocki Guide: this page, always accessible from the footer. Danger zone: permanently delete the company account and all its data.

For Employees

Every employee gets a personal dashboard. From it they can clock in and out, see today's status and a live working timer, and request leave (full or partial day). The My History tab shows their past attendance and leave, and the Team Calendar shows who else is off.

Employees can edit their own profile, including photo, phone, address, and birthday visibility. Managers additionally see a Team tab with their direct reports' status, pending approvals, and AI insights. Everything an employee sees is scoped to their own company.
